About the Client.

Octopus Investments is a reputable investment firm established in 2000, headquartered in London, managing more than £8.9 billion on behalf of over 55,000 investors. With a strong focus on renewable energy, healthcare, property, and small-to-medium enterprises, Octopus Investments is dedicated to creating sustainable and impactful investments.

Challenge.

Our task was to develop an automated solution that transfers data from paper forms to other systems, eliminating the need for manual data entry.

To ensure the accuracy of the digitized data, we needed to implement specific data entry procedures and validation checks.

The previous system encountered frequent errors caused by discrepancies in the information provided by Op1 and Op2. These errors also occurred during interactions with other systems like WDX and AML KYC. Around 50% of applications required intervention at the Op1 fix stage, predominantly for issues related to email and postal addresses.

Additionally, we had to include a quality control step where a second operator verifies the accuracy of the entered data.

Solution.

Initially, we implemented a Source Of Wealth tool to verify the investors’ income source. This provided transparency and ensured compliance with regulations.

Then we designed a system that streamlined and improved the application re-checking process. We added Power & System users to automate application processing and skip re-checking applications.

For easy enablement or disablement of project features, we incorporated Feature Flag functionality. We also added a logging system to the central log repository for tracking system activity and resolving issues.

Then, we configured Continuous Integration and Delivery (CI/CD) to automate releases and delivery.

Finally, we seamlessly integrated the system with third-party systems Novus (a system for storing and processing all investments) and Watson (Microsoft Dynamic CRM with a custom add-on for working with clients) for accurate data exchange and processing.

Business
Value.

Improved Efficiency through Digitization

By digitizing paper forms for investors and automating the data entry process, Octopus has significantly reduced the time and effort required to process and manage large amounts of data. This has resulted in increased productivity and efficiency, as employees no longer needed to manually enter data or handle physical documents.

Increased Accuracy with Data Automation

With the automation of data entry, the risk of human error has been greatly reduced, resulting in more accurate and reliable data. This have helped Octopus make more informed decisions and avoid costly mistakes.

Better Integration of Data with other Systems

By integrating the data from the digitized forms into other systems, Octopus has gained a more comprehensive and accurate view of its operations. This has allowed the company to identify areas for improvement, streamline processes, and make more strategic decisions based on real-time data.
